2011 Special Events Program applications due THURSDAY at NOON

We need to get on this.  For those who don't know, we apply to the Urban Development office for funding to hold events that will bring people in from out of town (and stimulate local business, show people what GFK has to offer, etc.).  The funding is given out as matching dollars up to a certain amount--so they are not giving us money, they are matching money to what we end up spending.  This hurts my brain to think about for some reason, but the deal last year was that we expected to get $800 in the end but only ended up with half that because we only spent half that...somehow.  Can someone else explain this?

Anyway, the application (ten printed physical signed copies) is due at noon on Thursday.  I specifically asked this week whether we could apply to fund multiple events, and they encourage it.  Events for which we could apply for funding:
- Bikecicle (February 12th)
- NCCCC Road Race weekend (end of April?)
- MTB late summer series?
- CX fall series?

UND Cycling Club has a reputation (painstakingly built over the last few years) of being a professional organization.  This means we can't hold events where the majority of the group decides to help out the day before rather than the month before.  Please think about this before the meeting tomorrow.

In any case, the word today is that someone else should try to do this today, even (especially) if you've never done it before.  Someone is going to need to know how to do these things after us older people leave, so I'm asking that you try it out, get some feedback, and have that experience under your belt.

In a few minutes I'll attach last year's application and this year's form for people to look at/work on.

Thanks again for all the help so far with the 'cross series!  It's been great seeing people volunteering to help set up, watch the course, and take down afterward--even if you were racing.

In with 10 minutes to spare.  You have no idea how annoying it is to put together ten copies of two different documents from three different files when you have less than half an hour to hand something in.

Great job Logan.  I made some changes last minute today which is why I was (almost) late.

I wanted to remind you all that we will not ask each applicant to make presentations this year.  On Monday, November 8th at 4:00 PM in Council Chambers (City Hall), the Special Events committee will begin going through and discussing each application.  You are welcome and encouraged to attend this meeting in case any questions may arise regarding your application.  On Tuesday, November 9th at 4:00 PM in City Hall Room A101, the Special Events Committee will meet again to determine their funding recommendation.   

On Monday, November 22, the Finance and Development Committee will hear the Special Events Committee recommendations for the 2011 Special Events Project.  On Monday, December 6th, City Council will take final action on allocating funds for the program.  Both of these meetings will be held at 5:30 PM in Council Chambers (City Hall), and are open for all to attend.
